Are you overwhelmed by a flooded inbox? Or do you need to structure your day to increase your productivity?

Last month I did a series of social media posts about the services I offer, to break them down, humanise them, and bring them to life. So, they didn’t just sit as a list on my website. I also featured a series of timely tweaks in my posts and thought I would put them in one place.

Are you overwhelmed by a flooded inbox?

I have a very old email address, and I have started cleaning it up because, for sentimental reasons, I don’t want to let the email address go.

So as the emails come through, I have been unsubscribing from those I no longer want to receive, rather than just deleting them.

And across other email addresses, I have set up a TO READ folder, so when I have a couple of minutes (sitting waiting for my dentist appointment) I can have a read through and delete or file accordingly.

If you have a flooded inbox, I would check for any urgent/time sensitive emails and calendar invites and prioritise them.   Then categorise content and create structure, e.g. set up a folder structure (if one is not there already or improve on the current one), flags etc. Next, reduce content where possible (spam, unsubscribe etc.) and set up rules. Finally, explore long term management.

  • At the start of your day, do a brain dump and clear the clutter in your head.
  • Choose your top 3 priorities for the day, rather than focusing on a list of 20 tasks.
  • And then at the end of the day, reset. Review and tidy tasks to set yourself up for the next day.

I also looked at making time visible.

I treated tasks like appointments, setting aside time in my diary to complete them. I also timed certain tasks and explored AI tools, such as Claude, to see what I can automate (especially recurring tasks).
